3 Quick Ways to Instantly Feel Less Overwhelmed in Your Business

Feeling like your business is running you instead of the other way around? I get it, but hear me when I say overwhelm doesn’t mean you’re doing it wrong. It just means your systems aren’t keeping up with you. 

Let’s fix that.

These three quick shifts will help you clear the mental clutter and take back control without burnout or hiring a huge team. Let’s do this! 

Move your to-do list into a project management system

Your brain is fantastic at coming up with new ideas, generating offers, and helping you show up wholeheartedly for your clients. 

You know what it’s terrible at? Trying to keep track of all those tasks.

Mental checklists are not a project management system. Trying to keep mental tabs on every single task for every single project is clogging up precious space in your brain. The solution? A project management system. 

These tools are designed to — say it with me now — manage your projects. They hold alllll the tasks, ideas, thoughts, brain dumps, and everything else related to your project in one place. Here are a few that me and my team love:

Find your favorite, then block a few hours to a day on your calendar to set it up. Dump every single task, project, idea, whatever that’s floating around in your mind here. Organize it into projects, set due dates and timelines, and watch the magic happen.

Here’s why: Seeing it all mapped out will give your brain an instant exhale. (Trust me, as an ADHDer myself, I know this one works.) 

Have a repeat task? Make it an SOP.  

Love ‘em or hate ‘em, we all have tasks that need to be done on repeat in our business. But instead of walking that new hire through the process or explaining it yet again to another new contractor, record yourself doing it and create an SOP. 

Creating standard operating procedures (SOP) is a game changer in business, especially for owners who are getting overwhelmed with the DIY chaos. Here’s how to do it: 

  1. Download a screen recorder like Loom (my personal fav). 
  2. Hit record and go through the task. Make sure to explain each step to cut down on questions later.
  3. Name the video so you can find it later and add it to your SOP bank.

That’s it! 

Oh, and remember: done is better than perfect. It’s okay if it’s a little messy or you feel like you say “um” too many times. No one else will notice — promise. 

Here’s why: Doing a video overview of the task might take you a few extra minutes but it saves tons of time in the long run. Need to share the process? Send over the video link. BOOM. 

Cancel that one thing that doesn’t have to be a meeting

Raise your hand if your calendar suddenly filled up with one-on-ones, discovery calls, team meetings, and “Can I just pick your brain real fast” chats. 

You’re not alone.

But here’s the deal…time is your most valuable asset. Hard stop. You can make more money, but time — once it’s gone, it’s gone. 

So pull up your calendar right now. (I’ll wait.) Find that one thing that doesn’t have to be a meeting. Yep, that one that could be a Loom, an SOP, or even a dang Slack update. Every time a new meeting request or event invite or speaking opportunity lands in your inbox, take a breath and think, “Is this how I want to spend my time?”

Trust the gut answer. You know, the one that instinctively shows up when you have a choice. It’s usually the right one. 

Here’s why: Meetings that could have been a text, a Loom, an email are just exhausting. Take back control of your calendar (and your energy).

Elevate your onboarding with a redirect welcome page

Imagine it: a client finds your socials, falls in love with your offers, and snaps them up ASAP…only to be met with crickets. 

Maybe a day or two later, you stumble across their registration in your jammed inbox, have an “oh sh*t” moment, and send a “Hey girl” email with all their next steps. 

Listen, life happens…but the damage is done. 

Does that mean you have to be glued to your phone 24/7, waiting for the next payment notification to ping? Absolutely not. Instead, set up a redirect welcome page for a seamless onboarding experience
